Monarch Healthcare Management is seeking a full-time Executive Assistant. This position is Monday-Friday 8am-4:30pm. Position Summary: The Executive Assistant provides provide executive level administrative support to the CEO, COO and VPs. This position carries out responsibilities with professionalism and respect for others, in accordance with the organization's policies and applicable laws. AA/EOE Job Duties: Schedule and manage all activities such as executive appointments, travel arrangements, internal and external business meetings, client or third-party appointments, conferences, and general office events. Functions as a liaison between Monarch and various charitable organizations determining appropriate donations and fund raising campaigns. Prepares media and public relations materials (press releases, etc.) Plans, schedules and coordinates meetings; prepares agendas and meeting materials, attends meetings and takes minutes to distribute to attendees. Drafts, format, edit, and finalize reports, presentations and correspondence (extensive experience with Microsoft Excel, Word, Publisher and PowerPoint ideal). Leads special projects, as needed working independently and adhering to strict deadlines. Works with VP of HR in tracking and reporting for Affirmative Action, EEO and OFCCP compliance. Manages the company Elearning System. Assists with project management for company clinical software. Provides support as needed during acquisitions. Provides direction and leadership to secretarial staff.
JOB REQUIREMENTS
Qualifications: Experience as a personal or administrative assistant, preferably in a C-Suite environment. Must possess organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Proven interpersonal skills, emotional maturity and the ability to build relationships with Executive level and midlevel management. Expert level written and verbal communication skills. Must be able to work independently on projects, from conception to completion, and work under pressure to handle a wide variety of activities and confidential matters with discretion. Ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of service and response. Ability to achieve performance goals and meet deadlines in a fast paced environment. Must be able to maintain a realistic balance among competing priorities. Proficient in MS Office suite of products. Must possess the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills. Must be able to perform essential functions of the position with or without reasonable accommodation. Must qualify for employment, after criminal background check, per guidelines of the Minnesota Department of Human Services.
